As a parent of a student attending Carleton University, you will undoubtedly have an interest in how they are progressing in their academic program.
Carleton adheres to the Freedom of Information and Protection of Privacy Act that requires the student’s written authorization in order to disclose or release information pertaining to their academic record to a third party. So unless we have explicit authorization from your student, we are unable to discuss any information regarding their academic status with you. Please note, this includes inquiries about:
- registration
- grades
- admission status
- academic standing
- specific information about their academic program
- requests for transcripts or certifications of enrolment
Students are able to access a wide range of information on the web, through Carleton Central, including their final grades, changes of major, academic standing and registration. Please keep in mind that access to academic records on Carleton Central is protected by a personal identification number (PIN), which is much like a bank PIN and belongs exclusively to the student.
One exception is emergency situations, for example, hospitalization for a serious illness or injury or the if the student is in immediate danger to self or others. In these circumstances, the student’s emergency contact is notified.
We also know that students may not seek help without the assurance of confidentiality and so it is important for all involved to respect students’ independence and right to privacy while providing support and a helping hand when needed.
The Third Party Release form is available here.
If you have any questions regarding the university’s rules and regulations, please contact the Registrar’s Office.
For additional information about privacy and confidentiality policies and legislation, you can contact the university’s Privacy Officer at 613-520-2600, ext. 2935.
